Who we are

Motion Box is a brand of Motion Crew BV, Sint-Annastraat 3, 3090 Overijse, Belgium, company number BE 0640.674.112. We are responsible for processing your personal data. You can reach us at info@motionbox.be.

What data we process

Through the contact form we receive your name, email address and phone number, for a business also the company name and VAT number, and the details of your event such as the date, delivery address and your message. If someone else meets us at the venue, also that person's name, mobile number and, if given, email address.

If we provide a photo booth for you, we also process the photos taken during the event, to deliver them to you and possibly place them in a private online gallery. For your guests' photos we do this on your behalf, as the organiser of the party. The online gallery is Motion Box's own application on our own servers, not an external service.

Why

We use your data to answer your request, prepare a quote and, if you book, perform the contract. The legal basis is taking steps at your request before entering into a contract, and then performing it.

We do not send newsletters and never sell your data.

Who we share data with

This website is hosted by Hetzner, in the European Union, and delivered through Cloudflare. Messages sent through the form are sent through our email provider MXroute, arrive in our mailbox and are registered as a request in the Motion Crew rental system. These parties only process data on our behalf.

If you book as a business, we check the VAT number with VIES, the VAT database of the European Commission. Only the VAT number is sent to VIES.

Cloudflare and MXroute are US companies. Data they process for us may therefore end up outside the European Union. This only happens with appropriate safeguards, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

How long we keep data

The form itself stores nothing on the website. To limit abuse we keep, for at most 24 hours, an irreversible code derived from your IP address, never the address itself. If passing your request to our rental system briefly fails, we keep it protected on the server until it succeeds, for at most 30 days.

Three years after the last contact your data is erased automatically, and sooner if you ask and no rental is ongoing. Invoices and the data on them are kept as long as the law requires. Photos in the online gallery stay online while the gallery runs and are deleted afterwards. We erase the original files three months after the party, or at the end of the gallery if it runs longer.

Cookies

This website sets no cookies itself and uses no tracking or visitor statistics. Cloudflare, which delivers the website, may set a strictly necessary security cookie to stop abuse by bots. No consent is needed for it.

Your rights

You can always access, correct or delete your data, and object to its processing. Email us at info@motionbox.be. You can also ask us to restrict the processing and receive your data in a common format to pass it on to someone else.

If you are not happy with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority, www.dataprotectionauthority.be.

Are you in a photo?

Are you in a photo from a Motion Box photobooth and would you like it removed from the gallery? Email info@motionbox.be with the name or date of the party. You can also contact the organiser of the party.
